CrineonERP vs spreadsheets and paper forms
An honest comparison for owners and managers wondering whether they’ve outgrown Excel. Sometimes the answer is no.
The short answer
It depends on how many people sign off on money.
Stay on spreadsheets if
- You’re a small team in one office.
- One person approves everything and sees everything.
- No client or regulator audits your controls.
Choose CrineonERP if
- You run more than one site, yard or department.
- Approvals depend on the amount and on who is away.
- Clients, auditors or NCDMB ask for evidence.
- Month-end takes weeks because the sheets don’t agree.
Side by side
| Criterion | Spreadsheets and paper | CrineonERP |
|---|---|---|
| Approvals by amount and delegation | Signatures on paper, routed by whoever is in the office | Chains with thresholds, relief officers and escalation, on record |
| Cash requisitions and retirement | Advances tracked in a sheet, receipts in envelopes | Every advance retired with receipts, and a new one follows your own rule while one is open |
| Visibility for directors | Figures assembled by hand, a week late | Cost, cash and exceptions from live records, any day |
| Nigerian Content data | Counted by hand when NCDMB asks | Prepared from staff, supplier and project records |
| Payroll under the Nigeria Tax Act 2025 | Formulas someone has to update correctly | PAYE by state of residence, pension and NHF, worked out on every payslip |
| NRS e-invoicing | Invoices keyed into a second system by hand | An upcoming integration, sending each invoice from the record it was raised on |
| HSE, QA/QC and site security | Separate files, folders and logbooks | Records with owners, linked to people and projects |
| Equipment rental, out and in | A whiteboard of what’s out and a sheet of hire charges | One availability board for units rented out and hired in, billed from timesheets |
| Audit trail | Whoever saved last wins | Who changed what, and when, on every record |
| Implementation and support | None needed, none available | Implemented with your team on-site, then support by email, phone and WhatsApp |
| Pricing model | A licence you may already own | One price per user, every module included |
| Hosting and data | On laptops and shared drives | Certified hosting, daily backups and an off-site copy |
| Foundation | Spreadsheet software | Built on ERPNext and the Frappe Framework, open source |
Where spreadsheets are stronger
Credit where it’s due.
- You probably already pay for them.
- Anyone can change anything, instantly.
- Everyone already knows how to use them.
- They work offline, on any laptop.
The second point is also the problem.
Switching
Your spreadsheets become your starting data.
- 01We map your sheets and forms to CrineonERP
- 02Opening balances, staff, suppliers and items come across
- 03One month of finance runs in both, reconciled
- 04The spreadsheets retire. Excel exports stay available.
FAQ
Questions about moving off spreadsheets
Can we keep using Excel?
Yes. Every report exports to Excel, and many teams keep their own analysis there. What moves is the record itself: approvals, payments, payroll and registers live in CrineonERP.
What happens to our old spreadsheets?
They become your starting data. Opening balances, staff, suppliers and items come across through import templates, and the old sheets stay as your archive.
How long does the switch take?
It depends on how many departments start at once. After discovery you get a dated plan. We suggest starting with finance and approvals, running one month in parallel, then adding departments as each settles.
Do our site staff need laptops?
No. Requests, approvals and site reports work in a phone browser, and the CrineonERP app files them offline and syncs when there’s signal.
